For manufacturers & distributors
Customer orders into your ERP — line by line.
Lineby reads the orders your customers email, send as PDFs or phone in, matches each line to your products and prices, and has the order ready for your team to approve. Set up around your business, not the other way round.
Sound familiar?
-
Someone retypes every PDF order into the system, line by line.
-
Customers use their own codes and descriptions, not yours.
-
Phone orders go on a notepad and get keyed in later — if someone remembers.
-
Mistakes show up at delivery, when they cost the most to put right.
The same orders, without the typing
Today
- Every line re-keyed by hand
- Customer codes looked up one by one
- Prices checked by hand against the price list
- A backlog by the end of the day
With Lineby
- Orders ready to check as soon as they arrive
- Each line matched, or flagged if Lineby isn't sure
- Prices and quantities checked for you
- Your team reviews and approves
How it works
-
An order arrives
By email, as a PDF or Excel attachment, a scan, or over the phone.
-
Lineby reads it
Codes, descriptions, quantities, units and prices — exactly as the customer wrote them.
-
Matched and checked
Against your catalogue, each customer's own codes and the prices agreed with them.
-
You approve
The order goes into your ERP, and a reply to the customer is drafted for you.
You decide how much Lineby does on its own
Start with your team checking every order. Once you trust it, let routine orders from regular customers go straight into your ERP — only the unusual ones wait for someone to check.
- Every line shows how it was matched.
- Lines it isn't sure about are flagged for your team rather than guessed.
- Correct a line once and Lineby remembers it for that customer.

Your data, handled with care
We use your orders for one thing only: turning them into sales orders. We handle your data in line with GDPR, and before the pilot starts we'll tell you exactly where it's kept and who processes it.
Who's behind Lineby
I've spent more than 11 years building software for B2B companies, leading an engineering team that has delivered dozens of custom systems for clients.
Again and again I've seen the same thing: customer orders arrive by email or PDF, and someone types them into the ERP by hand. It takes hours every day, and one mistyped code or price can mean the wrong goods on the lorry.
I've learned it's better to start small. We take a few of your real orders, I show you the result, and you decide whether it's worth going further. You deal directly with the people who build it.

Which ERPs do you work with?
Exact (Online & Globe), Sage 50, Microsoft Dynamics 365 Business Central (incl. NAV), Sage 200, AFAS, Odoo, SAP Business One and Intact iQ. If you use something else, ask us — we can usually connect to it as part of your set-up.
What about scanned or handwritten orders?
Scanned PDFs are fine. Handwritten orders depend on how clear they are; anything Lineby can't read with confidence is flagged for your team rather than guessed.
What about phone orders?
We fit it to the way you take calls today, so phone orders go through the same checks as email and PDF orders instead of living on a notepad.
What happens if it gets a line wrong?
Your team sees every line, how it was matched, and anything it wasn't sure about. Correct a line once and Lineby remembers it for that customer next time.
Can it run without anyone checking?
Yes, when you're ready. Most teams start by checking every order, then let routine orders from regular customers go straight through. Unusual orders wait for a person.
How long does it take to set up?
Expect to be live in 3–4 weeks. The first week or two is spent setting Lineby up around your products, customers and ERP.
Where is our data kept?
We'll tell you before the pilot starts: where your orders are stored and which services process them.
How is it priced?
A one-off set-up fee and a monthly fee based on how many orders you handle. The pilot on your own orders is free.
Is this just OCR?
No. OCR turns a page into text. Lineby works out which of your products each line means, checks quantities and prices, and prepares the order in your ERP.
Do we have to change our ERP, or how our customers order?
No. Your customers keep ordering the way they do now, and Lineby works with the ERP you already have.
Send me a few of your orders — I'll show you what Lineby does with them.
A 30-minute call with me. The pilot is free.
